Tokopi privacy notice

Last updated: 31 August 2026

This notice covers the personal data Optiop GmbH collects throughtokopi.optiop.org, in particular the Tokopi early-access waitlist. Optiop GmbH's general privacy policy is available at https://optiop.de/privacy-policy/.

Who is responsible

Optiop GmbH is the controller for the data described here. For any question about this notice, or to exercise the rights below, contact us athttps://optiop.de/contact/.

What we collect

When you submit the waitlist form, we store:

  • your work email address and company name (both required);
  • your name, where your team tracks work, and your team size, if you provide them;
  • anything you write in the free-text field;
  • the date and time of your submission.

We do not use advertising cookies, analytics, or third-party trackers on this site. No cookie is set by the waitlist form.

Why we use it, and on what basis

We use these details solely to assess waitlist applications and to contact you about Tokopi early access. The legal basis is your consent under Article 6(1)(a) GDPR, given by the checkbox on the form. You may withdraw it at any time; withdrawal does not affect processing carried out before then.

We will not add you to a newsletter, use your details for unrelated marketing, sell them, or share them with third parties for their own purposes.

Where it is stored

Submissions are stored in Amazon Web Services data centres in the European Union, and notification emails are sent through Amazon Simple Email Service. AWS acts as our processor under a data processing agreement.

How long we keep it

We keep waitlist entries until Tokopi's early-access programme closes, or until you ask us to delete them — whichever comes first. Entries that have had no contact for 24 months are deleted.

Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to our processing;
  • receive your data in a portable format;
  • withdraw consent at any time;
  • lodge a complaint with your local supervisory authority.

To exercise any of these, contact us at https://optiop.de/contact/.

The Tokopi product itself

This notice covers the website and the waitlist only. Tokopi is still in development and there is nothing to install today. When there is a product that connects to your Jira instance or your cloud accounts, a separate notice will describe exactly what it reads and where that data goes.

Changes

If we change this notice we will update the date at the top of this page, and tell waitlist members directly where the change is material.
